A private villa is one of the best settings for a milestone celebration, a small destination wedding, or a big family gathering, but it needs more planning than a standard vacation booking. Here’s what to think through.
Check the villa’s actual event policy first
Not every villa allows events, and those that do often cap guest numbers well below the property’s overnight capacity. Before you fall in love with a villa, confirm directly whether it permits gatherings, what the maximum headcount is for non-overnight guests, and whether there’s a curfew on music or noise.
Space for a celebration is different from space for a stay
A villa that comfortably sleeps twelve might only comfortably host thirty for a seated dinner once you account for the pool deck, garden and living areas. If you’re planning a wedding-style event, ask for the venue’s realistic seated and standing capacity separately from its sleeping capacity.
Vendors and logistics
Ask whether the villa has existing relationships with caterers, decorators and photographers in the area. A villa that regularly hosts events will usually have a shortlist of vendors who already know the space, which saves significant coordination time compared to bringing in a completely external team.
Power and connectivity for bigger setups
If you’re planning a DJ, extensive lighting or a large catering setup, confirm the property’s power capacity in advance. Villas built primarily for residential stays don’t always have the electrical load for a full event production without additional generators.
Book earlier than you think you need to
